Executive Assistant
Accountable to: Executive Director

This position supports the Executive Director in carrying out day-to-day organizational operations. Provide staff support for relationship building projects, internal operations and facility expansion. A champion for animals, PAWS is a nationally recognized leader in rehabilitating injured and orphaned wildlife, sheltering and adopting homeless cats and dogs, and educating people to make a better world for animals and humans. PAWS is located in Lynnwood, Washington.
In accordance with organizational policies, duties include but are not limited to:
- Provide administrative support for Executive Director including preparing correspondence, printing/copying, scheduling appointments and meetings, organizing files/information; make arrangements for events and meetings.
- Provide staff support to the board and capital campaign committees as requested; assist with scheduling meetings and solicitations; send meeting reminders and materials.
- Assist with research on pertinent topics and issues as they may arise.
- Liaison to PAWS departments as needed.
- Maintain records including meeting minutes, correspondence and publications.
- Other duties as assigned, including special projects that may arise.
The Executive Assistant works under the direction of the Executive Director and is expected to pursue the established duties with minimum direct supervision.
Written performance evaluations will be given after the first three and twelve months of work and annually thereafter.
Work may require long periods of sitting at a desk using a computer, calculator or other office equipment.
- Bachelor's degree/equivalent and a minimum of two years of demonstrated work experience in administration. Preference will be given to applicants with non-profit administration experience. HR and/or bookkeeping experience a plus.
- Experience working with boards of trustees, senior and executive management, and external parties preferred.
- Experience with all Microsoft Office applications necessary, additional computer and network experience a plus.
- Excellent written and oral communication skills; ability to represent the mission, goals and policies of PAWS.
- Attention to detail and ability to multitask while maintaining accuracy; ability to manage multiple projects and shifting priorities and meet deadlines.
- Must maintain high level of confidentiality and have a tactful, mature and sincere attitude.
- Must be willing to work in a dog-friendly office.

Wildlife Volunteer Program Manager
Accountable to: Wildlife Department Director
Type of Position: 40 hours per week
Salary: DOE, and comprehensive benefits plan
Closing Date: February 9, 2010
To manage the volunteer program with focus on recruiting, training and retaining an adequate number of volunteers to professionally operate the Wildlife Center.
In accordance with organizational policies, duties include but are not limited to:
- Recruits, interviews, trains and schedules volunteers.
- Works with the Rehabilitation Manager to solve problems and determine number of volunteers needed. Works with the Rehabilitators to facilitate volunteer evaluations, support and supervision.
- Designs and delivers support and educational programs for volunteers in order to provide ongoing learning opportunities and enhance retention of volunteers. Teaches classes and coordinates events.
- Develops volunteer positions and prepares volunteer training manuals, newsletters, brochures and recruitment materials. Develops volunteer recognition programs, and periodic program evaluations.
- Keeps accurate records of volunteer statistics and submits monthly and annual reports. Responsible for managing the volunteer budget.
- Works with other PAWS departments' volunteer program staff to share information and effectively meet PAWS overall volunteer needs.
The Volunteer Program Manager works under the general guidance of the Wildlife Director and is expected to pursue the established duties without direct supervision.
Written performance evaluations will be given after three and twelve months of work and annually thereafter.
Candidates must be able to lift a minimum of twenty (20) pounds. Work may be performed in and out of PAWS facilities requiring lifting and carrying lighter-weight equipment and supplies.
- Must have at least two-years of college-level education.
- Must have demonstrated ability to facilitate cooperation among a wide range of individuals, including but not limited to, experience supervising volunteers, or experience providing skills training to adults, or experience leading individuals as part of an organization, association or volunteer effort.
- Must have excellent written and verbal communication skills and be able to represent the mission, goals and the policies of PAWS in a creative and energetic manner. Must be organized, efficient and able to work independently.
- Must have good problem-solving skills.
- Must be able to work cooperatively with co-workers, volunteers and the public.
- Must be comfortable with developing and implementing team concepts in work situations.
- Must have or be able to obtain a valid Washington Driver's License with no record of major or repeated minor traffic offenses.
- Important considerations for this position include an understanding of why individuals are motivated to volunteer, how volunteers and staff work together and how adults learn new tasks and skills.
- Individuals with prior experience or exposure to volunteer management in the animal care or wildlife rehabilitation field will be given serious consideration.

Assistant Wildlife Rehabilitator
Accountable to: Wildlife Rehabilitation Manager
Type of Position: Seasonal April 1-September 30, 2010; 40 hours per week
Closing Date: March 1, 2010
To assist in the coordination of daily animal care at PAWS Wildlife Center.
In accordance with organizational policies, duties include but are not limited to:
- Assists in fulfilling daily care plans of wildlife patients including but not limited to nutritional, husbandry and medical needs.
- Assists with examinations and basic diagnostic procedures on incoming patients. Administers medical treatments according to the PAWS Wildlife Rehabilitation Manual and policies. Maintains animal care records, inputs data.
- Ensures that cages and facilities are cleaned and maintained daily, feeding schedules are adhered to and other animal care needs are met.
- Oversees and assists interns and volunteers with daily duties. Assists with training and mentoring of volunteers and interns. Delegates and ensures satisfactory completion of tasks. Ensures that animals are being handled in a manner that maximizes human and animal safety. Ensures that protocols to minimize the risk of contraction of zoonotic diseases are being adhered to.
- Admits animals from the public and provides assistance both in person and over the phone regarding animal rescues, transport and nuisance wildlife situations.
- Drives own vehicle or PAWS vehicle as needed to rescue and transport wildlife. Performs animal releases as needed.
Assistant Wildlife Rehabilitators work under the direction of the Rehabilitation Manager and are expected to work without direct supervision.
Must be able to lift a minimum forty (40) pounds. Work is performed both in and out of the wildlife center which requires lifting, bending, stooping, pushing and other moderately strenuous activities.
- A minimum of two-years of college-level education, or the equivalent in experience, with a proven interest in wildlife.
- A minimum of three months experience in a wildlife rehabilitation center or related field.
- Organized, efficient and able to work independently where there may be no existing protocols.
- Must be able to work quickly, efficiently and calmly under stressful conditions. Must be able to handle multiple responsibilities. Must be able to work cooperatively with
co-workers (volunteers, interns and staff) and the public.
- Supervisory experience and familiarity with computer systems helpful.
- Must be able to communicate clearly in English, both verbally and in writing.
- Must have or be able to obtain a valid Washington state driver’s license with no record of major or repeated minor traffic offenses.

Wildlife Reception and Admissions
Accountable to: Wildlife Rehabilitation Manager
Type of Position: Seasonal April 1-September 30, 2010; 40 hours per week
Closing Date: March 1, 2010
To admit wildlife to the center in a timely and professional manner, and to ensure that members of the public receive proper attention and appropriate information when interacting with the wildlife department.
- Answer the wildlife center telephone and respond to messages.
- Actively respond to public inquires and concerns about wildlife. Ensure that accurate and humane information is given out, promote co-existence with wildlife.
- Receive and admit wildlife brought to the center. Ensure that proper records are begun and that relevant information is gathered from the finder. Send resolution cards requested by the public.
- Solicit donations from the public upon patient admittance.
- Responsible for data entry and accuracy of records in database.
- Track donations to the center and phone calls.
- Deal compassionately with distressed members of the public.
- Responsible for maintenance of reception lobby area and cleanliness of the examination room and equipment.
- Assists with other tasks as needed.
The Wildlife Reception and Admission staff works under the direction of the Rehabilitation Manager and is expected to work without direct supervision.
Work is performed both in and out of the office and may require sitting for long periods of time.
